This page will provide information for prospective and current authors of documents, guidelines and resources for the CHIVA website.
This page is aiming to provide authors with guidance to ensure information available on the website is based on up-to-date, good quality information that is presented in an easy to access and read, standardised format.

Document Group
All information available on the website will be reviewed by a multidisciplinary document group to ensure it complies with the criteria set out below. The time frame this will occur in is also listed.

Selection of the Document Group
To ensure the documents were review in good time this year the committee were selected by the Document Lead. In the future nominations for committee members will be requested from the whole of the CHIVA membership and nominees voted onto the committee. This will happen in time for the production of the 2010 guidelines.
There will be a page on the website named Document Group/Editorial Board. This will contain the name, designation and qualifications of each member of the group. There will be a link to a page entitled “About Credentials” which will link to a page that lists explanations or any acronyms relating to degrees or affiliations.
Health Project Manager
The administration and organisation of the Document Group will be lead by the Health Project Manager. Additionally all guidelines will be formatted by the Health Project Manager. Documents and Guidelines will be formatted in a format that is standardised for the website.
Annual Guideline Update Process
This year all the review guideline process has been brought forward to coincide with the launch of the new CHIVA website. All authors have been informed of changes. From 2010 guidelines will be updated as below.

The document group will review all information to go on the website and send suggested changes back to authors. Where there is information that is contested between the group and the author the CHIVA executive will be asked to advise. top of page
Information for Authors Submitting Documents/Guidelines
Identifying and referencing source material
To ensure the website is producing good-quality information. Information must be:
- balanced;
- show sources clearly; and
- not be biased.
To ensure balanced information is provided, reputable sources of evidence must be used and all guidelines must be fully reference with a bibliography with hyperlinks if possible (see below in content for more information on referencing).
There are situations where research studies have not yet been done. When this is the case evidence needs to be based on the experience and expertise of health and social care professionals or the experiences of patients or clients. This needs to be sourced and stated. top of page top of page top of page
Conflict of interest
Where there is conflict of interest and alternative evidence from trusted sources this should be disclosed.
Justification of claims
Claims regarding effectiveness or non-effectiveness of any commercial product or treatment must be backed up with scientific evidence (medical journals, reports, others). Balanced information on alternative therapies or generic products must be provided.
Authority of Information on the Website
Author information
When submitting a guideline to the Document Group authors need to include their full name, contact details (e-mail, phone number and address), designation and qualifications with full explanations for all acronyms relating to degrees or affiliations.
Contact information will only be for the Document Group to allow easy liaison during the approval process.
There will also be a page entitled “Author Information” which will contain the name, designation and qualifications of every author with a guideline on the website.

Date
Every guideline will include the date of creation, date of last modification and next review date.
Preventative and Corrective Action
There will be a clearly identifiable page for visitors to the site to complain or contest any information on the website in the form of a complaints procedure and an email address to make the complaint. All complaints or concerns will be dealt with in the following way:
E-mails will be monitored and forwarded to the Document Group Lead by the website manager. All complaints or concerns will be forwarded to the Documents Group Lead within 2 weeks of being posted on the website. In the event of the Document Group Lead being away, or unavailable, emails will be forward to the CHIVA Chair. The Document Group Lead will respond to the email within 2 weeks. Any actions to be carried out (changes made, documents to be withdrawn) will be carried out in this period. The Document Group Lead will action any mistakes personally, but if there is any debate the document in question will be withdrawn and advice and consensus sought from the CHIVA executive board. The person making the complaint will be informed of all decisions and the rationale behind decisions made. top of page
Format of Documents
In most cases documents and guidelines will be formatted into two distinct formats:
- A short version (for down loading and use in local guidelines and clinical areas) To contain diagram or table if relevant to content – this could contain links to other guidelines or to the longer ref document.
- A long version (where relevant) which contains either reference documents or a longer version.
All documents will be formatted in a generic CHIVA style. top of page
