Registration procedure
- Complete the registration form and return it with your payment to the Conference Organiser as soon as possible.
- The early registration fee applies only if the registration form and the payment are received by 9 March 2012. It remains the responsibility of the delegate to ensure that payment by any trust or department is received by the Conference Organiser.
- Please note that, in principle, invoices cannot be issued for individual registration fees.
- Confirmation of registration will be forwarded by the Conference Organiser once your registration has been processed.
- Registration grants access to all scientific sessions, the exhibition area, lunch and refreshments throughout the day.
Membership
Please note that non-CHIVA, non-BHIVA and non-NHIVNA members may register for the conference at the reduced rate applying to CHIVA, BHIVA or NHIVNA members if their registration forms are accompanied by the appropriate completed membership form and payment.

Abstract submission
Following the success of last year’s initiative, it has been decided once again to invite submission of abstracts for oral and poster presentation at this year’s event. This should enable delegates to keep abreast of important research and projects which we may not have the opportunity to cover as part of the conference plenary programme. To submit an abstract for potential presentation, please email your submission to conferences [at] mediscript [dot] ltd [dot] uk by the closing deadline of 9 March 2012. All applicants will be notified during the week commencing 26 March 2012 whether or not their submission has been accepted for presentation. Please note that presenting authors will need to register for conference for their abstract submission to be accepted.
Suitable topics for abstract submission:
Abstracts need to focus on the general theme of HIV in children, and on this occasion abstracts on mother-to-child transmission would be particularly welcomed. Other topics for potential inclusion:
- Access and service delivery
- HIV treatment
- Sexually transmitted infections
- Children and pregnancy
- Complications of HIV disease or treatment
- Diagnosis and testing
- Epidemiology and surveillance
- Management issues in HIV
- Age, gender, and migration related issues
- Pathogenesis, transmission and prevention
Notes for preparing your abstract:
Registration will be necessary for presentation and publication of your abstract. A maximum of 2,500 characters is permissible, excluding title, name(s) of author(s) and affiliation(s). Characters include spaces and tables. Please use the Arial font in size 10. Only one data table is permitted in the body of the abstract. The body of the abstract should follow the general outline format below.
General outline:
Background: a clear statement about the aims/objectives of the study and/or a description of the problem.
Methods: method(s) used or approach taken.
Results: main results with appropriate statistical tests for quantitative studies.
Conclusion: primary conclusions and their implications.
All abstracts should disclose primary findings and avoid, whenever possible, promissory statements such as ‘experiments are in progress’, or ‘results will be discussed’.
Abstracts that are longer than 2,500 characters may be arbitrarily cut and lead to the abstract not being accepted for presentation. Delegates submitting successful poster abstracts will be given details of the required poster format. Oral presentations will be allocated a maximum of 10 minutes, which is to include time for questions.
Presentations need not be exclusive to this meeting and may be presented elsewhere.
Scholarships, grants and awards
CHIVA Community Registration:
Places are limited and will be allocated as fairly as possible, in principle on a first-come, first-served basis, and up to a maximum of one free-of-charge registration per community group. The deadline for applications to be received is 9 March 2012. To apply for a community registration place, please complete a registration form stating clearly that you are applying for a community registration place in the payment section, and attach a brief résumé of the aims and objectives of your organisation on headed paper. All applicants will be notified shortly after 26 March 2012 as to whether or not their application has been successful. Please note that it is necessary for community registrants to purchase a CHIVA Dinner ticket if they wish to attend this event.
CHIVA Registration Scholarships:
These have been made available to assist delegates to attend the conference. A limited number of awards will be available to CHIVA members who may have financial constraints restricting them from attending the conference. The scholarship will cover the conference registration fee. Please apply in writing to the Conference Organiser, when submitting your registration form. It would be appreciated if you could provide as much information regarding your current status and circumstances as possible and, in addition, details of how you would benefit from attending the conference. Applications must be received by 9 March 2012. All applicants will be notified shortly after 26 March 2012 as to whether or not their application has been successful.
MSD grants in association with CHIVA:
Up to 30 grants have been provided by MSD to assist those who would otherwise find it expensive to attend the conference. Grants are limited to a maximum contribution of £75 and this can be utilised in support of a delegate’s travel and / or accommodation expenses. It is expected that grant winners will attend the full CHIVA conference. Applicants must register for the CHIVA conference and pay in full. Please apply in writing either via email (conferences [at] mediscript [dot] ltd [dot] uk) or when submitting your registration form.
The application deadline is 9 March 2012 and priority for the grants will be given to first-time attendees, non-consultants and CHIVA members. An acknowledgement will be sent to grant winners the week commencing 12 March 2012. Original receipts will be required post-conference, and within two weeks of the event in order for CHIVA to reimburse monies.
CHIVA awards:
CHIVA Best Oral Research Presentation Award
CHIVA will make an award for the best oral research presentation at the 6th Annual Conference of CHIVA. The presentation of the award will be made during the Awards Ceremony at 16:55 in the lecture theatre. It is requested that all presenters of oral research presentations be available in the lecture theatre at this time in case their presentation is selected, enabling them to collect their award in person.
CHIVA/ Mediscript Best Poster Research Presentation Award
In recognition of the collaboration between Mediscript and CHIVA over the years, Mediscript is supporting an award for the best poster presentation at the 6th Annual Conference of CHIVA. The presentation of the award will be made during the Awards Ceremony at 16:55 in the lecture theatre. It is requested that all poster presenters be available in the lecture theatre at this time in case their presentation is selected, enabling them to collect their award in person.
Social events
A CHIVA Dinner has been organised from 20:00 on the evening of Thursday 17 May 2012. The dinner venue is still to be confirmed. Spaces are limited and will be allocated on a first-come, first-served basis. It is anticipated that the evening will commence with a short drinks reception, followed by dinner and dancing. To try and ensure that funds are not wasted, you will be required to reserve a ticket and pay a nominal fee of £20 to attend the Dinner. Please indicate on the registration form if you wish to attend this social event. If you then find you cannot attend, please let the Conference Organiser know at your earliest convenience.
Cancellation
Providing that written notice is received by 6 April 2012, 75% of the registration fee will be refunded. No refunds will be made for any cancellations received after this date, although it will be possible to substitute a delegate of the same fee category up to the date of the conference. If the conference cannot be held for any reason, the Conference Organiser’s liability will be limited to a refund of the appropriate registration fee only.
Accommodation
Please note that your registration fee does not include accommodation. Birmingham Convention Bureau is the official hotel booking service for the 6th Annual Conference of CHIVA. Hotel accommodation is limited and consequently will be administered on a first-come, first-served basis. Reduced rates and rooms will be held up to 13 April 2012, so remember to book early.
